Welcome to our practice. As a group we would like you to know that we are committed to offering you the most competent psychological service possible. We would like to take this opportunity to answer some questions that are frequently asked by our clients.
OFFICE HOURS: Our office is generally open 8:30 AM to 6:00 PM Monday through Friday. Victoria Shaw, our Intake, Billing and Office Manager, is in the office Tuesday, Wednesday and Fridays 9:00- 2:00 and working from home the other days. The office number is 756-0555. Victoria's voice mail extension is 101. When Victoria is not here, you may leave a message for anyone in the group at their voice mailbox. We try to return calls in the ten minutes between each session throughout the day. If you call after 5:00 PM during the week, or if you call on the weekend, you may leave a voice mail message or, in an emergency, follow the voice mail instructions to page our on-call therapist.
APPOINTMENTS: Appointments are made on a regular weekly or bi-weekly basis. When you schedule an appointment with your therapist that hour is specifically reserved for you. In the event that you are unable to keep your appointment, you must cancel or reschedule at least 24 hours in advance. If you fail to cancel or reschedule with 24 hours notice you will be charged your regular rate for that time. Your therapist will discuss this and other client-therapist policies with you in the first session.
PAYMENT AND INSURANCE COVERAGE: Payment for professional services is expected at the time the services are delivered. If this presents a financial hardship for you please discuss this with your therapist during the first hour. If you expect medical insurance to cover all or part of your counseling fees, there are a few things you need to know. First, each insurance policy has different rules and benefits. It is your responsibility to read your insurance booklet or contact your insurance representative to learn the specific requirements and coverage for your plan. In some cases a referral from your physician is required and/or sessions may need to be authorized by the insurance company before you begin counseling. This is almost always true with a HMO or managed care plan. Please remember that your medical insurance is a contract between you and your insurance company. It is up to you to make sure you have complied with all requirements of that contract in order to receive insurance benefits. Payment of your account is your responsibility whether or not your insurance provides coverage. As a professional courtesy to our clients we will submit insurance claims on your behalf. To do so you must furnish us with all the necessary insurance information including policy number, group number, your ID number, name and address of your insurance company.
